Manage your visitors at work successfully

Visitors will be present in almost every type of business. Businesses should therefore have easy to follow procedures for managing all visitors, be they guests, interview candidates or contractors.

Identity Checks

When a visitor first steps up to your reception desk, your policy should include asking for their name and establishing who they are there to see. Then, you should ask for identification. Ideally one with a photo so you can verify that they are indeed who they claim to be. Some companies allow visitors to enter a building and find their way to an office or meeting space on their own, while others require that guests be met and escorted. Whatever option you select, guests should all have a pass indicating that they are visitors. They can then be challenged, if necessary, if found in an area that is restricted.

Many companies have used paper sign-in books for years to manage visitors. It can cause problems with access control, since visitor passes can also be printed on paper and altered. This problem can be solved by using an electronic system that records the arrival of guests, lets people know when they arrive, and prints badges with photos.
